Frequently Asked Questions

Honest answers
to real questions.

No hype, no vague promises. If you're evaluating whether AI automation makes sense for your firm, these are the questions that actually matter.

AI & Law Firms

What AI actually does — and doesn't do — for a law firm.

Can AI really handle legal work without violating ethics rules?

+
AI handles operational and administrative work — not legal judgment. Document drafting templates, intake qualification, billing automation, client communication sequences, and scheduling are operational tasks. No legal judgment is applied by the AI at any point. All AI-generated content that goes to clients is attorney-reviewed before sending. Nothing goes out without your approval. The attorney is always the final decision-maker.

Is AI automation safe for a law firm? What about client confidentiality?

+
Yes, when implemented correctly. MentoraX builds on self-hosted n8n infrastructure — your data stays on your own server, not processed through third-party SaaS platforms that aggregate and potentially share data. All integrations are scoped to minimum necessary access. We do not use client data to train AI models. Every system we build is designed with data minimization and attorney-client privilege in mind.

What tasks can AI actually automate in a law firm?

+
The highest-value automation opportunities in solo and small law firms: client intake (form → CRM → calendar → briefing), client communication (status updates, milestone notifications, follow-ups), billing and collections (invoice generation, payment tracking, overdue sequences), document generation (engagement letters, standard agreements from intake data), deadline monitoring and alerts, Google review solicitation and management, and LinkedIn content creation. Legal research and courtroom judgment are not automated.

How is this different from legal software I already use — Clio, MyCase, etc.?

+
Practice management platforms like Clio and MyCase are databases with workflow features. They organize your work — they don't do your work. MentoraX builds automation layers that connect your existing tools (including Clio if you use it) and execute tasks automatically. The intake form fills itself. The invoice sends itself. The follow-up fires itself. We work with your current stack, not against it.

Will AI replace my paralegal or legal assistant?

+
For most solo attorneys, the answer is: it replaces the need to hire one for operational tasks. If you have a paralegal doing substantive legal work — research, drafting, case prep — that's different and valuable. If they're doing intake, scheduling, invoice chasing, and status updates, automation can handle all of that. This frees a paralegal for higher-value work, or removes the need to hire one at all at current firm size.
The Products

Questions about StarFlow, Content Machine, and The 5-Hour Practice™.

How long does it take to automate a law firm's intake process?

+
A fully automated intake workflow — from prospect inquiry through consultation booked and attorney briefed — typically takes 2–3 weeks to design, build, and test. This includes integration with your existing tools, a qualification gate, document generation, and calendar booking. Complexity varies based on your current stack and how many edge cases exist in your intake process.

What is the ROI of the 5-Hour Practice™ Intensive?

+
The average attorney in this program recovers 15–25 hours per month from eliminated admin work. At a $350/hr billing rate, that's $5,250–$8,750 in monthly revenue recovered — or $63,000–$105,000 annually. The $5,000 engagement cost is typically recovered within 30–60 days of the systems running. The time audit template helps you calculate your own specific numbers before committing.

Do I need to be technical to use MentoraX systems?

+
No. The Intensive is done-with-you — we build, test, and deploy everything. You're involved in the design decisions (what the system does, not how it's built). At handoff, you receive full documentation and a walkthrough of each workflow. You understand what's running and how to manage it, but you don't write code or configure anything yourself. If something breaks after handoff, you have 30 days of direct support to get it resolved.

Is StarFlow ABA-compliant?

+
Yes. Every StarFlow sequence is designed around ABA Model Rules 7.1–7.3. There are no incentivized review requests (no quid pro quo), no misleading language, no improper solicitation. The satisfaction gate routes dissatisfied clients to a private channel — not as an attempt to suppress negative reviews, but as a legitimate service recovery mechanism. AI-drafted review responses are written to avoid any misleading content and are reviewed before posting. That said, you should review the specific rules in your jurisdiction — we are not your ethics counsel.

How is Content Machine different from hiring a social media manager?

+
Three ways. First, it's built on a persistent Marketing Document — a structured knowledge base of your practice that every piece of content is generated from. Generic social media managers don't have this. Second, it's verticalized for law firms — the content pillars, ICP targeting, and brand validation are built around how attorneys build authority, not how brands build followers. Third, the economics: a good legal content manager costs $2,000–$4,000/month. Content Machine is a fraction of that, with AI-powered quality validation built in.

What tools do I need to already have for the Intensive to work?

+
Minimal. You need an email inbox, a calendar (Google Calendar works fine), and some way clients currently contact you. Everything else we either integrate with what you have or build from scratch. We do need a server to host the n8n instance — this can be a $5–10/month VPS or your existing hosting if you have one. We handle setup. You don't need Clio, a CRM, or any specific legal software — though we can integrate with them if you have them.
Working With MentoraX

What to expect from the engagement.

How much of my time does the Intensive require?

+
Typically 2–3 hours per week during active build phases — primarily to review designs, answer questions about your specific workflows, and test outputs. The audit phase at the start requires one focused session of 90–120 minutes. Most of the work happens on our side, not yours. This is done-with-you, not done-by-you.

What happens if something breaks after the engagement ends?

+
You receive full documentation at handoff — enough to diagnose and fix most issues yourself, or hand to any competent developer. Additionally, there's a 30-day post-handoff support period where we resolve any issues directly. After 30 days, support is available on a time-and-materials basis. Because everything runs on self-hosted n8n with clear documentation, you're never locked into us — the system is yours.

Can I cancel StarFlow or Content Machine at any time?

+
Yes. Both are monthly services with no long-term contracts. Cancel with 30 days' notice. The setup work — the workflows, configurations, and documentation — remains yours. For StarFlow, we'll provide export documentation of your review data and Google Business Profile setup so you're not left with nothing if you cancel.

Do you work with attorneys outside the US?

+
The MentoraX product suite is designed around US solo and small firm attorneys — ABA compliance, US-based Google Business Profile dynamics, LinkedIn authority building for US legal markets. The Intensive can be adapted for non-US attorneys on a case-by-case basis, but products like StarFlow are optimized for the US market. Contact us to discuss your specific situation.

How do I know if the Intensive is right for my firm before committing $5,000?

+
Start with the free Law Firm Time Audit. Run it for one week, get your numbers, and then book a 15-minute call. On that call we'll look at your specific audit results, identify your highest-leverage opportunities, and tell you honestly whether the Intensive makes sense for your situation — and what the realistic ROI looks like for your billing rate and firm size. If it doesn't make sense, we'll say so.
